Give admins the ability to change a user's username

From time to time, when there's a name change for an employee or user, it would be nice if we could change the user's username for them. We have the ability to change their email address on file, but we cannot change the username for the employee. It would be great if we could update the user's name for them, without having to reach out to them and tell them how they have to update their username on their own.

If the user that an admin is looking to change the username for is in only one organization, admins can now change the username on their own and do not need the help of any other person (be it Red Rover support or the user themselves!)

Larry Foxx Can you share the steps in doing this? I went to a current retiree who is planning to sub 25-26 school year to update her current email/username from the school email to her personal email. When i click "edit" I only have rights to edit the employer side like always.
Larry Foxx
Crystal Little - just try editing the email address that you can see, to see if that updates the username as well. Let us know!

Larry Foxx Mike Weisman Just wondering if there has been any updates/thoughts on allowing Admins to change usernames. I have a district who is frustrated about not being able to do it themselves.
Mike Weisman
Michael Lichtenberger Hey there Michael! We haven't had any further movement on this. There are some pretty stringent requirements around security in order for us to maintain compliance. The landscape of "best practice" has changed a bit over the years, and we want to make sure that any identity management features inside Red Rover line up with standard software expectations / regulations. However, do you know if this district has SSO configured? If not, that might be something that would help with most of the scenarios they're running into. This would allow them to update any employee email name changes, and any employees moving over to a sub role. (Subs would still have to update on their own at this time).

Mike Weisman They do have SSO. It was a substitute's username I had to get changed. It makes sense that you are trying to follow identity management standards. Thanks!

If a sub becomes an employee or employee resigns and becomes a sub, we then need to change their email address in Red Rover. However, there does not seem to be a way to send them a new invitation, so that their Red Rover account now references this new email address. It would be great that if a super user or admin changes a Red Rover email address, they can then send them a new 'invitation' email. Regardless, their account would still use the same identifier, so we cannot simply inactivate their account and create an entirely new one.

I agree 100 % - being a large district, we have several that go between being an employee then switching to substitute status or vice versa and it is time consuming to have to get on a chat to have RR support make this change for us.

Permission sets to allow setting for login type (SSO, etc)

When employees in an SSO organization become only subs, we must chat in to Red Rover to have the email address updated. It would save a lot of time if we could add the login method to the permission set so we can make the updates ourselves.

We just had an employee change her name, and subsequently the email changed as well. The name change took effect right away, but it took us 3 days to figure out the email wouldn't link for the SSO. It's best to let RR know if you change an email because the account needs to be linked on RR's end to the new email for the SSO to work.

Presently, you have the ability to change a person's username before they create their account. Once they've already created their account with the username, you lose the ability to modify it as an admin on behalf of somebody else. From a system design perspective, because the user can be associated with multiple districts, we are a bit reluctant for an admin to be able to change a username that would impact how that user logs in to other districts, which is why we opted at least for now to have the individual user be the one to manage this. We appreciate the feedback, and may come up with something clever here down the line. If you DO need for a user to change her username, feel free to reach out to support@redroverk12.com for now and we can help with that in a jiffy!

Larry Foxx: Could the development team consider adding an enhancement that when we (the employer) update the email address a notification goes to the employee asking if they would like to update their username to match? Maybe show current username and the suggested updated option?
It could be in the form of a toggle for us (the employer) to select for the notification to go out.
I completely understand RR's stance; however, this is a issue for when we have updated name changes. By default, every username is the employees email address for our system.
Employees see this as a work account/school related and don't understand this is their personal information.
Or RR could allow if we (the superuser) have an updated email address and do a rest password the reset password email would go to the email address we have on file.
Thank you as always for your consideration and wonderful customer support!!

Crystal Little: Definitely hear you here, Crystal. We do have conversations about this internally from time to time as we seek to balance the proper controls on who should be able to control a users account. Thanks for sharing!
