FMLA Tracking

Would it be possible to view the FMLA designation on an employee's absence? A different color for the day on the calendar view or a notation/symbol on the list view would be helpful so we don't have to go into each absence entry to see if it is noted or designated as FMLA. I've tried to find a report for tracking purposes and haven't found that.

ooohhhh I like this idea, especially for intermittent FMLA leaves, this would be very helpful as it isn't designated as FMLA when it's not consecutive, and if they are using their PTO for intermittent leaves, it just looks like random PTO days as opposed to covered FMLA time.

Debbie Demick we use a FMLA absence code for intermittent days that pulls from their sick leave bank. Employees enter their absences with the absence code - FMLA Needs Approval and it routes to me to approve / deny and change the code to the appropriate FMLA designation based on the required note section. Would it be possible to add an absence code for your district using FMLA - Intermittent, FMLA - Continuous? We also have FMLA - Unpaid to use when an employee is out of time and it does not pull from a bank. It won't help with a visual reference on the calendar view, but you can easily pull reports based off absence codes!

Bridget Horn I'm going to look into this, but one issue I can see on our end is that different groups of employees have different banks of time (i.e. PTO vs. Sick Leave vs. Vacation vs. Personal), so it the FMLA intermittent wouldn't just be pulling from "one" bank....not sure how that would work

Debbie Demick we have the same - so there's different absence codes for each. FMLA - Vacation Used, etc.. It's a lot to get set up correctly, but it's really helpful for tracking!

Bridget Horn so basically the employee just enters the absence as FMLA-intermittent, it gets routed to you for approval and you change it to whatever bank it needs to come from, but it's still tagged as FMLA? you're saying for example, you might change it to FMLA-Vacation, and then it pulls it from that person's Vacation bank, but it's still logged as FMLA? That would mean we'd have to double all of our absence reasons to duplicate each one as "FMLA".

Debbie Demick the absence gets entered as FMLA - Needs Approval (that's the only visible FMLA code for employees to choose from). Once it gets to me, I change the absence code to pull from the appropriate bank. We don't duplicate every absence code, just the ones for FMLA. We have the following: FMLA - Paid, FMLA - Unpaid, FMLA - Borrowed Days, FMLA - Vacation, FMLA - Vacation Rollover. We don't track continuous and intermittent individually, but can pull a report for any FMLA absences to get totals.

Bridget Horn OK, how does "FMLA-Paid" know which bank to pull from? I'm assuming employees have more than one type of time available to use for FMLA, correct?
B
Bridget Horn
Debbie Demick for the vast majority of employees that are FMLA eligible, no. They can only use their sick leave bank and that's where the FMLA - Paid code pulls from.

Bridget Horn OK then this will not work for our district. Each group has different types of leave banks. I will still be looking for RED ROVER to add something like a "check box" on my end to designate it as FMLA leave, regardless of the bank it's pulled from...it will need to be an extra layer on my end.
